Review how expenses, payroll and depreciation contribute to a property's monthly Hotel and F&B costs.
Before you start
Select a property and have accounting viewing access. Accounting management access is needed to enable overhead allocations or change them. Individual labour allocations also require payroll viewing access.
Steps
- Open Accounting → Overhead & allocations. If the property has not enabled allocations, an accountant with management access can choose Enable overhead allocations.
- Set Property, Month and Currency, then choose Refresh. Check whether the month is provisional or closed.
- In Summary, review Included overhead by source, By expense type, F&B overhead and Hotel overhead.
- Check Reconciliation and timing. Compare Recorded cost, Included overhead, Excluded cost, Requires review and Allocated to Hotel and F&B. Resolve the items that require review before using the total as the full monthly cost.
- Compare Expenses invoiced this month with Expense cost scheduled this month. A positive timing difference means more expense cost is scheduled into the month than was invoiced in it; a negative difference means less.
- Open Expenses, Labour or Assets to inspect the source records and their Hotel/F&B shares. Follow a source name to its original record when available. Choose Edit allocation to correct an open month's allocation, or View allocation to inspect a closed one.
- With export access, choose Export CSV for the selected property, month and currency.
Expected result
You can reconcile the selected month's costs to their original records and explain their allocation between Hotel and F&B. Open months can change as costs and sales are recorded. Closed months retain the figures saved when the period was closed.
If figures need attention
Follow the displayed cost warnings and resolve missing or unclassified sources. F&B overhead can remain unallocated when the month has no eligible sales. Cost allocation is incomplete describes missing cost information; do not interpret an unavailable total as zero.
If someone changes an allocation while you are editing, choose Reload latest figures and review the current values. Closed allocations are read-only. Use the authorised accounting period reopening process when a closed month needs correction.
