Requires rules-management access. Actual cancellation/refund actions remain separate and use their own permission/approval checks.

Steps

  1. Open Automation Rules → Cancellation & Refund Policy. Select an existing policy to Edit, or choose New policy.

  2. Under Step 1: Scope, enter policy name, currency and optional rate-plan ID. Check active status, checked-in behavior and manager-override settings.

  3. Under Step 2: Rules, choose a quick template or add tiers with priority and minimum/maximum hours before check-in. For each tier set refund mode/value and cancellation-fee mode/value. Correct overlap/window validation errors before saving.

  4. Under Step 3: Preview outcome, enter the check-in and cancellation times, Total paid, payment status and whether payment was via OTA. Run the preview and inspect Matched tier, Guest refund, Cancellation fee, Execution strategy and Approval required.

  5. Save the policy and verify it under Step 4: Manage policies. Repeat previews for the boundary cases relevant to the property. A policy preview does not cancel a reservation or issue a refund.
