Review, approval, publication and archival require permission to review documentation, permission to approve documentation, permission to publish documentation and permission to archive documentation respectively. Access to the document also applies.

Steps

  1. Open Documentation Hub → Reviews and select the assigned revision. Read its exact content and discussion; add an anchored or general comment when clarification is needed.

  2. Enter a Decision note. Choose Request changes to return it for revision, or Approve exact revision when authorised and satisfied. Approval attaches to that revision, not future edits.

  3. Open the document’s Revision history. If changes are required, create a revised draft from the relevant revision and repeat review; only one mutable draft may be available.

  4. For an approved revision, choose Publish. In Publish approved revision, leave the schedule empty for immediate publication or enter Schedule date and time, then confirm the action.

  5. Inspect Publication timeline and Open publication to verify the active version. Use Cancel schedule to withdraw a pending schedule and Compare revisions to inspect changes; choose different earlier/later revisions.

  6. To retire a document, choose Archive, inspect Archive this document, then confirm. Archiving is separate from cancelling a scheduled publication; ensure readers have the replacement procedure before retirement.
