Use this procedure to create a new item in the inventory catalogue, such as rice, bottled water or cleaning supplies.

Steps

  1. Select the property, then open Inventory → Items & locations.

  2. Choose Add Inventory Item at the top of the page.

  3. Enter Name, choose Category (Food, Beverage, Housekeeping or Maintenance), and enter Unit, such as kg, pieces or bottles.

  4. Enter Unit cost, Low-stock threshold, Suggested order quantity and Supplier name. The reorder level is the stock threshold; the reorder quantity is how much to replenish.

  5. Leave Starting Quantity at its fixed value of 0, then choose Save. After a successful save, the dialog closes and the inventory item list refreshes.

  6. To put stock on hand, continue through the purchase order and goods receipt workflow. Select the new item on the purchase order, complete approval, then use Receive stock when the goods arrive.

Creating an item and changing its stock balance are separate tasks. Stock Adjustments corrects quantities for existing items; it is not the place to add an inventory item. Saving the item does not receive goods or increase stock.

You need permission to create inventory items. If Add Inventory Item is missing, ask your property administrator to check your role. Receiving the item’s opening stock is a separate action that requires stock-receiving permission.
