For new reservations, configured early check-in and late checkout amounts are conditional charges. Booking quotes and the initial reservation bill exclude both fees. Existing reservations and issued bills retain their historical terms. An already-issued pro-forma retains its frozen terms until a newly calculated revision is issued.
Set Check-in time and Checkout time in property settings. Defaults are 14:00 and 12:00 in the property's timezone. On an early arrival, choosing Check in displays the scheduled local time and the fee including applicable tax. Reception can accept the fee; this creates a separate finalized bill, and the guest remains unadmitted until that fee is paid. Mark as paid remains available to reception. Staff mobile collection covers the accommodation and supplemental reservation bills. Managers, admins and owners can waive the timing charge with a mandatory reason. Identity, room and other payment requirements still apply.
Steps
-
Open the reservation in Front Desk → Arrivals and choose Check in. In Early check-in, review the property's local check-in time and the displayed fee.
-
Choose Accept … fee to add the reviewed charge. An authorized manager can instead enter Manager waiver reason and choose Waive early check-in fee. If the quote changes, review the refreshed amount before confirming again.
-
Collect any remaining amount using Mark as paid, then complete the separate check-in action after identity, payment and room-readiness checks pass. Accepting or waiving a fee alone does not admit the guest.
A guest who remains checked in at checkout time plus 60 minutes incurs the configured late fee once. An approved late departure moves the start of that grace period; any purchased extension charge is retained separately. The fee is assessed by the minute worker and rechecked during departure. New reservations remain checked in until staff or the guest explicitly confirms departure, even when accommodation is fully paid.
Checkout requires all guest-responsible balances and pending charges to be resolved. Managers can review and waive an unpaid timing charge or the reviewed outstanding folio balance with a reason. A waiver creates a credit and audit record; entering a checkout override reason alone does not clear debt. Refresh and review again if a payment or new charge changes the balance. A completed company receivable transfer continues to cover its recorded amount.
