Use Staycore Encoder for ProUSB for the property's ProUSB installation. Commissioning setup cards use the separate ProUSB cards web tab and Commission locks workflow; normal guest and staff cards begin with their authorised reservation or staff-access draft.

Steps

  1. For a guest, open Front Desk → In-house → Access for the correct stay and choose Create RFID draft. For staff or housekeeping, prepare the approved draft in Access Control → Staff Access. Review the property, room or door scope and validity before leaving the web app.

  2. Open the ProUSB encoder under the same property, connect the configured reader and open Credentials. Choose Refresh, find the intended draft and select it. Resolve any prior Pending operation first.

  3. Review Hotel access preview, the cardholder, access points and expiry. Choose Encode hotel access card, or Encode staff card set when shown. Present the designated card and leave it on the reader through writing, readback and recording.

  4. For a staff set, follow the displayed prompts for every required card and review its verified doors. For extra guest copies, use Write multiple cards → Write multiple and replace the card only when prompted. Inspect each verified result; a partial set needs its remaining cards before handover.

  5. Open Verified cards and confirm Staycore has recorded issuance. A readback receipt whose Staycore confirmation is pending still needs recovery before handover.

  6. If interrupted, retain the original card and return to Pending operation → Refresh and recover confirmation using the original Windows account, Staycore account and property. Follow Submit verified receipt, Confirm no write occurred or Mark outcome uncertain only when the recorded evidence makes that action available. Recovery does not automatically repeat a physical write.

  7. For cancellation or loss, select the credential and follow More actions → Cancel credential, Report lost, or Lost card flow as appropriate. If the flow requires Write cancel card, apply it at every affected door and complete Confirm cancellation at doors only after observing the required physical result. A cancelled Staycore record alone does not block an offline door.
