Set the consent wording and record-retention periods used across your account. You need an account administrator role with permission to manage guest communications. Have your organisation’s approved wording and retention periods ready.

Steps

  1. Select a property and open Engagement → Settings. Find Guest communications.
  2. Choose Set up for the first publication, or Manage policies to change an existing policy. The Communication policies panel applies to every property in this account.
  3. Enter Consent text using the wording guests agree to when opting in. Add an optional Policy link beginning with https:// if your organisation publishes its policy online.
  4. Under Keep records for (days), enter whole-day periods for Customer profiles, Messages and visits, and Consent records. Use the permitted ranges shown in the form.
  5. Open More retention settings if you need to set Financial records (days) or Pause deletion under a legal hold. Review these choices with the person responsible for your organisation’s records.
  6. Review the account-wide scope and choose Publish policies. Wait for Policies published., then reopen Manage policies to check the saved wording and periods.

Publishing records the policy versions. Existing guest opt-ins and unsubscribes stay unchanged; this action does not subscribe a guest or send a message. Review individual choices through customer subscription preferences.

If publication is blocked

Ask your account administrator to publish if the management controls are unavailable. For a conflict, choose Reload policies, review the current saved version, and reapply the changes you still need. Correct any missing wording, invalid policy link, or retention values before submitting again. Configure the intended delivery channel separately before sending messages.
